Make your available time visible
Resource management starts with knowing what you can use: time, skills, tools and attention. Write down your available work periods after existing commitments. Reserve time for responding to people and checking work as well as producing it.
Try three headings in a weekly note: delivery, finding customers, and administration. Add a realistic task under each. Leave room for unexpected revisions instead of scheduling every minute.
Give each tool a clear job
List each tool, what you use it for, its cost and its next renewal date. Two tools doing the same job may add complexity without improving delivery. Before changing a service, check whether you need to export work or preserve access.
Tool / task it supports / how often used / cost / renewal date / keep or review.
Upgrade when a specific limit prevents useful work. Our Systeme.io review explains the kind of workflow it may suit; an existing website and inbox may already be enough.
Keep one place for next actions
For each inquiry or project, record the next action, who owns it and when you should revisit it. A note or spreadsheet can be enough at the start. Avoid placing passwords, payment details or unnecessary customer information in a general task list.
Use reusable templates for repeated explanations, but read each message before sending. The follow-up examples help you reply consistently while addressing the actual question.
Review capacity before adding work
At the end of the week, compare planned work with what happened. Which tasks took longer? Which subscriptions were useful? What delayed a customer reply? Adjust the next week using those observations.
When demand grows, narrow your scope, improve the process or change delivery dates before making promises you cannot keep. Download the weekly founder planner to begin.
